GENERAL CONDITIONS OF PARTICIPATION

The company “TRAVEL CENTER CONFERENCES INCENTIVES & GROUPS” has its registered office at 16, Aristotelous Street, Agios Dimitrios, Attica, Greece, with contact telephone number +30 2109200800 and email sales@culinaryadventuresgeece.com. It has a “Tourism Business Registry” number 0261E60000842400, is a member of the “Hellenic Association of Tourist and Travel Agencies” and will be hereinafter referred as the “Agency”. The “Agency” provides registrations-participations in organised entry packages.
The registrations-participations in the organised entry packages are valid for the period indicated on the website of “TOURIST BUSINESS TRAVEL CENTER CONFERENCES INCENTIVES & GROUPS LTD” with the trading name “TRAVEL CENTER CONFERENCES INCENTIVES & GROUPS”, www.culinaryadventuresgreece.com, where the dates and specific times of the seminars and activities you have chosen are indicated. The selection you make is binding on the specific times of the activities and indivisible from the applicable price list.

GENERAL

The information, data and recommendations contained in the General Conditions of Participation have been checked by our office for their validity and accuracy, are of a general nature and apply as such, unless otherwise specified or otherwise stated in every individual registration-participation. The programmes, including the price list applicable at any given time, are valid for the period indicated therein (specific dates and times of seminars and activities selected by you). Program information and details are subject to change, due to extraordinary changes in circumstances. In this case, you will be notified immediately, by the most appropriate means and therefore we must have all your contact details, for the declaration of which you are solely responsible.

REGISTRATION – PARTICIPATION IN THE ORGANISED ENTRY PACKAGES

Registrations are made via our internet website, subject to (in order to reserve participations): 1) payment in full, by credit/debit card, and 2) unconditional acceptance of and compliance with these General Conditions. For valid registration, the specific dates and times of registration-participation must be indicated on the payment receipt. You will receive the Contract by email and you have the right to withdraw from the Contract within fourteen (14) days from the date it is sent to your email, subject to the associated cancellation fees set out in Article 9 below.

INCOME PRICES – CHARGES ETC.

The value-price of entries-participation in the organized programmes as well as entry packages is indicated in our current price list. In particular, the price of registration-participation may change up to forty (40) days before the start of the services. This price increase will be communicated to the participant calculated in detail in a clear, understandable and distinct manner.
In the event of a significant price increase (i.e., more than 8% of the value) for the above reasons, the participant may terminate the contract without paying a termination fee and the exact amount paid shall reimbursed to him/ her exact amount paid, except of third party fees (e.g., bank commissions, etc.). If the participant terminates the contract for the above-reason, the participant may accept another equivalent package. It is the participant’s obligation to notify our Tourism Agency, in writing, of any decision within a reasonable period, but in no case more than three (3) days from the time the participant is notified of the price increase. In the event that the participant does not respond in writing within the above time limit, the Agency, is obliged to cancel his/her participation and refund all the money paid without any other obligation, taking into account the related cancellation fees mentioned in Article 9 below.
It is stressed that the price of the registration-participation in the organised entry packages does not include any costs of issuing travel documents as well as any costs of medical examinations in compliance with national and community provisions. These costs are paid by the client directly to the relevant services and institutions, without any involvement and responsibility of “TRAVEL CENTER CONFERENCES INCENTIVES & GROUPS”.

OBLIGATIONS – RESPONSIBILITIES OF THE TOURIST AGENCY

Our Tourist Agency has the obligation to coordinate and execute the registration system in the best possible way. However, having exhausted every possibility of foresight and care, it is not responsible for the wrong actions and omissions of third parties and their associates, whether for technical, meteorological or other reasons.
The Tourism Agency cannot foresee or control in case of exclusion (“embargo”) of areas due to terrorist acts, strikes and other causes of force majeure. It is stressed that the Tourism Agency is not able to foresee or control circumstances that are foreign to its sphere of influence and may lead to the cancellation of bookings-participations or to damages due to non-performance or defective performance of the agreed services. Typical examples of such cases are: strikes, accidents, illnesses, epidemics, organic disorders due to local conditions, altitude, climate, inadequate sanitary conditions due to external factors, injuries or hardship due to war, coups, acts of terrorism, hijackings, earthquakes, weather conditions, fires, epidemics, toxic contamination and any other emergency or force majeure situation. In the above cases, our Tourism Agency shall not be liable for compensation for any damage caused by them.
Reasonable complaints during the course of participation must be reported in writing, immediately and, on the spot, and to the provider of the service. If the problem pointed out could not be resolved on the spot, you must submit in writing to our office any relevant complaint within seven (7) working days, together with any documents or other evidence you have to justify it. After this time limit, our Tourist Board has no obligation to respond to any claim. If damages occur due to non-performance or improper performance of benefits, the compensation to the client is limited to the refund of the registration-participation fee.
A minimum number of participants is required for an organised activity to be possible, which is indicated in the registration-participation programme. If this number is not reached, our office reserves the right to cancel the activity and must inform the clients who had registered for the activity and refund the money paid, without any other obligation.
The Agency offers only the benefits indicated in the details of the registration-participation programs. Any optional benefits are available at an additional charge, if they are eventually made available. Our Agency assumes no responsibility whatsoever for optional benefits, which are provided primarily by local entities.
Upon completion of your participation, our Agency will issue the statutory tax documents, which will be sent to the email address you have provided.

OBLIGATIONS – RESPONSIBILITIES OF PARTICIPANTS

Participants must be at the designated areas of the various activities they are participating in, at the designated dates and times.
If the participant’s tardiness or inconsistency results in the participant not attending the activity, the participant is not entitled to a refund for the service missed.
Since other people also participate in the organised activities, it is essential that the participants behave in a social manner and comply fully with the programme of the activities and the instructions of the organisers, and that they arrive at the meeting places in time. 
In the event that a participant discontinues his/her participation by his/her own decision and withdraws, he/she is not entitled to any further service or compensation. Our office, in the same way,  is not responsible for services where they were not provided to the participant through his/her own negligence or responsibility, due to his/her illness or sudden accident.

PASSPORTS, ENTRY VISAS & HEALTH FORMS

Failure to ensure the timely issue or visa of your travel documents will not justify the cancellation of your participation without incurring cancellation fees.
Participants are required to comply with national rules and regulations and the instructions of the national authorities. Our Agency cannot be held responsible in the event that participants face criminal prosecution, are summoned to appear before an authority, are arrested by local authorities, etc.
Clients with health problems should obtain the agreement of their doctor to participate in the activities by presenting a medical certificate or an affidavit that they can safely participate. Our Agency assumes absolutely no responsibility for illness, injury, loss of life, accident or other health emergency during their participation in any activity. In the event of such an occurrence, the Agency will, as far as possible, try to assist the sufferer, but has no obligation to cover any related expenses whatsoever.

INSURANCE

Our Agency is not obliged to provide insurance cover to participants in the activities. Participants take part at their own risk.

CANCELLATIONS

Cancellations of participation on the part of the participant can only be made by sending an e-mail to our office at “sales@culinaryadventuresgreece.com” and regardless of the date of the reservation (and if it is not possible to assign the reservation to another person under the conditions mentioned in Article 6 of the General Conditions of Participation), are subject to the following cancellation fees per person, depending on the time at which the cancellation is made, and are independent of whether the corresponding amounts have already been paid by the participants
1. up to sixty (60) days before the start of the festival, 10% of the total value of the participation and 20 € will be withheld
2. from fifty-nine (59) to forty-five (45) days before the start of the festival, 30% of the total value of the participation and 20 € will be withheld
3. from forty-four (44) to thirty (30) days before the start of the festival, 50% of the total value of the participation and 20 € will be withheld
4. less than thirty (30) days before the start of the festival, 100% of the total value of the entry will be withheld
Refunds to customers will be made within fourteen (14) days from the date of cancellation and in the same manner as the charge.
In the event of cancellation of participation by the Agency due to reduced participation, our office will notify the clients who had registered for participation no later than thirty (30) days prior to the scheduled start of the festival and will refund the money paid, without any further obligation.
In the event of a refund to a client, any third-party costs (including but not limited to bank commissions) will be borne by the client.

SETTLEMENT OF DISPUTES

We take care to be in compliance with the applicable legislation, both national and European, regarding the correct use of personal data. For the provision of services, the participant consents to the processing of his/her personal data, such as data identifying him/her and information relating to services used. You can be extensively informed from our website about the applicable “Privacy and Personal Data Protection Policy”.
The Tourism Agency and the participant undertake to resolve, in good faith, any dispute that may arise during the performance of the contract. In the event of failure of such efforts, the parties undertake to refer to the Amicable Dispute Resolution Committee. If amicable settlement of the dispute is not possible, the Athens Courts shall have jurisdiction.
